We are looking for a reliable and detail-oriented Administrative Coordinator to join our team in a full-time, on-site capacity. This role includes general administrative support, meeting coordination, invoice and contract processing, and receptionist responsibilities. The ideal candidate will be organized, communicative, and comfortable handling a variety of administrative tasks to keep daily operations running smoothly.

This is an on-site position in Westbury, NY
The work hours are Monday - Friday, 8:00a -4:00p

Key Responsibilities:

  • Reception & Front Office Support: Assist with general receptionist duties such as answering phones, directing calls, and greeting visitors as needed.
  • Meeting Coordination: Schedule and coordinate meetings, ensuring all logistics are arranged and calendars are maintained.
  • Contract Processing: Assist with tracking and processing contracts, particularly related to instructional tools and services, through internal systems and workflows.
  • Invoice Handling: Receive and process invoices for approval and payment, ensuring documentation is complete and accurate.
  • General Administrative Support:

    • Maintain organized digital and physical files.
    • Enter and update information in internal platforms.
    • Prepare documents and assist with other clerical tasks as assigned.
    • Support internal communication and coordination with various teams and vendors.

Qualifications and Skills

  • Education: High school diploma or equivalent required; Associate’s degree preferred.
  • Experience: At least 2 years of experience in an administrative, office support, or clerical role.
  • Strong organizational and time management skills.
  • Professional verbal and written communication.
  • Proficient in Microsoft Office and other office software.
  • High attention to detail, especially with data entry, invoices, and contracts.
  • Ability to manage multiple responsibilities and adjust to changing priorities.
  • Reliable, discreet, and comfortable in a team-oriented setting.
