Student Data Systems Specialist
The Student Data Systems Specialist is responsible for the administration, maintenance, and support of the district’s student information systems and related educational technology platforms. This role serves as the primary resource for PowerSchool management, student data integration, rostering, reporting, and state assessment data processes. The Specialist works closely with school administrators, clerical staff, teachers, and technology personnel to ensure the accuracy, integrity, and efficient use of student data systems.
Essential Responsibilities
Student Information System Administration
- Administer and maintain the PowerSchool Student Information System (SIS), ensuring data accuracy and system integrity.
- Manage all back-end PowerSchool functions, including student enrollment, scheduling, data maintenance, and system configuration.
- Monitor and troubleshoot data issues within PowerSchool and related systems.
- Maintain student demographics, enrollment records, and district-wide database accuracy.
Data Integration & Rostering
- Manage and maintain integrations between PowerSchool, Clever, and other educational applications.
- Oversee student rostering processes for instructional programs, assessments, and digital learning platforms.
- Ensure accurate data synchronization between PowerSchool and third-party systems.
- Support and maintain rostering for report cards, registration, NWEA assessments, NYSED testing, and other district systems and applications.
- Validate data imports, exports, and automated integrations to ensure compliance and accuracy.
Assessment & Reporting Support
- Coordinate student data preparation and rostering for state assessments and district testing programs.
- Support NYSED reporting requirements and maintain data necessary for state submissions.
- Generate reports and provide data analysis to support district, school, and administrative needs.
- Assist with report card processes and other student reporting functions.
Training & Customer Support
- Provide training and ongoing support to building clerical staff and school personnel on PowerSchool and related systems.
- Develop user guides, procedures, and training materials.
- Respond to user inquiries and troubleshoot system-related issues in a timely manner.
- Serve as a liaison between school staff, district administration, and technology personnel.
Compliance & Data Management
- Maintain confidentiality and security of student records in accordance with FERPA and district policies.
- Ensure student data is managed in compliance with local, state, and federal regulations.
- Assist with data audits and quality assurance initiatives.
Qualifications
Required Qualifications
- Associate’s degree in Information Technology, Educational Technology, Computer Science, Business Administration, or a related field; or equivalent combination of education and experience.
- Experience working with Student Information Systems (SIS), preferably PowerSchool.
- Experience managing student data, rostering, enrollment, scheduling, and educational technology integrations.
- Strong understanding of data management, database maintenance, and reporting.
- Experience supporting educational applications and student assessment systems.
- Strong analytical, problem-solving, and troubleshooting skills.
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to train and support diverse groups of users.
Preferred Qualifications
- Previous experience administering PowerSchool in a K-12 educational environment.
- Knowledge of Clever integration and single sign-on/rostering processes.
- Experience supporting NWEA, NYSED testing, state reporting, and student assessment platforms.
- Experience with student registration systems and report card processes.
- Familiarity with educational data standards and state reporting requirements.
- Experience working directly with school clerical staff and administrators.
- Advanced proficiency with Microsoft Excel and data analysis tools.
