We are seeking a highly organized and detail-oriented Administrative Coordinator to provide essential administrative support. This role involves scheduling meetings, coordinating professional development sessions, and managing various administrative tasks, including communication with school district staff and external vendors. The ideal candidate will have strong administrative skills and the ability to effectively support the department’s educational initiatives.
This is an on-site position in Westbury, NY. The work hours are Monday - Friday, 8:30a -4:30p. Our benefits include medical, dental, and vision insurance; 401k with company contribution, PTO and holidays.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative assistance to the Curriculum and Instruction staff, including document preparation, file management, and paperwork processing.
- Meeting and Session Coordination: Schedule and organize meetings and professional development sessions, ensuring all logistics are handled smoothly.
- Vendor & PD Provider Coordination: Manage communication with external vendors and professional development providers, ensuring timely scheduling and service delivery.
- Contract Monitoring: Assist in processing vendor and consultant contracts through the internal approval process, tracking progress and ensuring timely completion.
- Internal Communication: Act as a liaison for communication with school district staff, facilitating the flow of information within the department.
- Data Entry & System Updates: Accurately enter information into our online platforms and maintain updated records.
- Phone Support: Answer and route incoming calls, providing excellent customer service and ensuring inquiries are addressed promptly.
Qualifications:
- Education: High school diploma or equivalent required; Associate’s degree preferred.
- Experience: Minimum of 2 years of administrative support experience, preferably in an educational or curriculum-related environment.
- Skills:
- Strong organizational and time management abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and experience with data entry.
- Tech-savvy, with experience using administrative platforms and software.
- Ability to handle confidential information with discretion.
- Problem-solving skills and the ability to manage multiple tasks simultaneously.
- Adaptability and flexibility in handling shifting priorities.
- Professional and courteous demeanor, with strong customer service skills.
